Office Manager

The Role:

LADbible Group reaches almost half of all Australians each month, and as a result we’re opening an office in Sydney to better service that audience. As an office manager you will be an integral part of our team, managing the day to day operations of the office as well as projects which will involve finance, recruitment, HR, onboarding, and other areas of our business. As a result of this hybrid role we’re looking to recruit a multi skilled office manager. Ideally candidates will have previous experience working within media, however other industry experience will also be considered. 

Working as an Office Manager, you will:

=       Help to find the best office space available and manage the process of moving in

=       Manage the smooth running of the Australian office (ensuring that the reception and all meeting rooms are clean, tidy   and fit for clients at all times, and suggest any improvements)

=       Liaise and negotiate with contractors and suppliers to ensure we get the best service and deal, whilst managing and filing contract agreements

=       Work collaboratively with HR, Finance and other relevant departments where necessary

=       Being proactive and identifying where we can improve the office environment e.g. recycling initiatives, security, fire and first aid measures, space and working with the relevant teams to make that happen

=       Ensuring the office is always maintained to a high standard, keeping on top of repairs and replacements of office equipment, fittings and general wear and tear 

=       Monitoring the office budget and reducing costs where necessary

=       Manage and arrange all travel and accommodation for Australian based employees 

=       Answer incoming calls, mail and visitors determining their recipient and priority and re-directing them where appropriate

=       Be the point of call for all office queries, deliveries, supplies and office maintenance  

=       Replenish relevant supplies and stationary, ordering the weekly shopping and catering for external and internal events

=       Ensure all employees take pride with our space and ensure security processes are implemented

=       Oversee and manage our health and safety procedures in the office (including first aid and fire)

=       Support with office renovations, moves and seating plans as and when required

=       Support across all company culture initiatives, including organising social activities, monthly socials and help ensure a general positive vibe across the office

=       Assist HR in the on-boarding process for new hires, partner with IT to ensure desks and equipment is set up for their first day.

The Person

=       Previous experience within an office manager role, ideally within a media environment

=       The ability to show initiative and attention to detail

=       Customer service orientated, well presented, confident and articulate when dealing with clients and colleagues

=       A down to earth, friendly, confident, and enthusiastic approach

=       A can-do attitude and hands-on approach to fixing problem, with the ability to think logically

=       Excellent personable, communication and time management skills

=       You'll need to be reliable, approachable and adaptable with a calm and professional manner

=       Great team working skills with the ability to work autonomously and take responsibility for fulfilling tasks and meeting deadlines

=       As part of this role you will have access to information not publically or internally available and as such confidentiality is key

=       A good negotiator to manage suppliers, local vendors or restaurants and bars

=       Good use of Microsoft Office product suite including Word, PowerPoint and Excel

=       Comfortable in a fast paced and changing organisation
